Information you need to know:

The Universities Partnershipis part of the University of Leicester. Further information on Universities Partnership can be found here: https://universitiespartnership.org and the institution can be found here: https://le.ac.uk/.

The University of Leicester is the Data Controller for your information. The Data Protection Officer is: Parmjit Gill. who can be contacted by emailing: dpo@leicester.ac.uk  

This Privacy Notice provides information about how the University of Leicester collects and uses your personal information.

What is ‘personal information’?

‘Personal information’ means any information which relates to or identifies you as an individual.

What information are we collecting or using?

The personal data we process about you will be your name, organisation, job role and email address

In addition to this, the University may process some information about you that is classed as ‘sensitive’ or ‘special category’ personal data, and which requires additional protections.

We may collect information about your protected characteristics e.g. ethnicity, sex, gender, disability through optional surveys to assist us with monitoring equal opportunities.

Your data will be stored securely on University systems

Why are we processing your data?

Your data is processed to enable coordinated communications as part of the Universities Partnership civic agreement activities.

We are processing your data for the purpose of sending stakeholder engagement communications, customer service information, news updates and direct marketing of free events and other opportunities for involvement e.g. funding calls, research and student engagement.

The University of Leicester’s legal basis for collecting this data is:

 Under Article 6(1)(f) UK GDPR, the legal basis for processing your personal data is the legitimate interests of the Partnership to contact stakeholders and keep them informed of events.

Where we process special category data for equalities monitoring, our legal basis is Article 9(2)(a) UK GDPR – we will only do so with your explicit consent.

You may withdraw your consent at any time by contacting Universities Partnership Manager at admin@universitiespartnership.org

Withdrawal of consent will not affect the lawfulness of our processing before your consent was withdrawn.

Who will my personal information be shared with?

Your contact information will be shared between the three partner universities for the purposes stated. It will not be shared with any other third parties.

Where did the University of Leicester source my data from?

Your data has been provided directly by you when engaging with Universities Partnership activities or as a supporter of one of the universities in the Partnership.

How long will the University of Leicester keep my data?

Your data will be retained for up to 5 years, in line with the retention period set out in the Information Sharing Agreement.

What rights do I have regarding my data?

You have the right to access, correct, or delete your personal data, to object to or restrict how it is used, to request its transfer to another organisation, and to avoid decisions made solely by automated processes.

Some of the above rights are not absolute. If you want to exercise any of the rights described above, please contact the University’s Information Assurance Team via on the email at the end of this notice.

We will do our best to respond quickly and within the timeframes set out by data protection law. To help us handle your request and improve our services, we may keep a record of our communications with you. 

Complaints to the University:  

If you are dissatisfied with the way the University have used your information, you should complain to the University’s Information Assurance Team via the email at the end of this notice.

Complaints to the ICO:

If you are not satisfied with the way the University has handled your complaint, you also have the right to raise your concerns with the Information Commissioner’s Office (ICO). The ICO is an independent authority which oversees how personal data is used. Guidance on how to contact the ICO can be found at www.ico.org.uk
